What we collect, why, and what we do with it.

Memorial Media Links is a service of Memorial Media Services. This page explains the personal information we handle when you use the site, and the choices you have.
What we collect
- Account details — your name, email address and a hashed password when you create an account, plus the time you last signed in.
- Memorial content — the photographs, text, video links, dates and service details you add to a memorial page, including information about the person the page remembers and about people shown in photographs.
- Guest-book posts — the name, optional email address, relationship and message a visitor leaves, and a one-way hash of their connection details used only to limit abuse.
- Order details — name, email, phone, shipping address, the items ordered and payment status. Card details are handled by our payment provider and never reach our servers.
- Messages and applications — what you send through the contact form or the affiliate application.
- Technical data — server logs with IP address, browser type and the pages requested, kept for security and troubleshooting; and a count of scans and visits per memorial page.
Cookies
We set a session cookie (mml_session) when you sign in, and a referral cookie (mml_ref, 90 days) when you arrive through an affiliate’s link so that the affiliate can be credited if you order. We do not use advertising cookies or third-party analytics.
How we use it
To host and display memorial pages, fulfil orders, send the emails the service needs (order confirmations, guest-book notifications, password resets, replies to your messages), pay affiliates, keep the site secure, and improve it. We do not sell personal information.
Who can see a memorial page
A public memorial page is visible to anyone, including search engines. An unlisted page is not submitted to search engines and opens only for people who scan the plaque or have the link. The owner of a memorial decides which, and can change it at any time. Guest-book posts appear on the page once the owner approves them.
Who we share it with
Only the providers that run the service on our behalf: our hosting provider, our email delivery provider (for the emails above), and our payment provider when online payment is used. Each receives only what it needs for its task. We will disclose information where the law requires it.
How long we keep it
Memorial content stays for as long as the memorial is hosted, and for a reasonable period afterwards so that a family can renew. Order records are kept for as long as accounting rules require. Contact messages are kept until they are dealt with and for a reasonable period after. Server logs are kept for a short, rolling period.
Your choices
You can edit or remove memorial content, change a page between public and unlisted, and remove guest-book posts from your dashboard. To correct or delete your account, or to ask what we hold about you, contact us and we will respond within a reasonable time. If you are shown on a memorial page and want a photograph removed, contact us and we will work with the page’s owner.
Children
Accounts are for adults. A memorial page may remember a child, but it must be created and managed by an adult.

We will update this page if our practices change; the date at the top shows the last revision.
